The Events & Operational Coordinator is the operational engine of the CIC team. Working closely with the Manager and RIN Director, you will turn high-level strategy and event concepts into seamlessly executed reality.

Operating in a fast-paced innovation ecosystem with a small, agile team, this role requires someone who is deeply comfortable with ambiguity and to open communication and knowledge sharing. You are a proactive problem-solver who is not afraid to ask questions to map out a clear path forward. Core Responsibilities & Deliverables
Flawless Event Logistics & Execution

Turn Vision into Reality: Take pre-designed event concepts from the team and fully own the operational logistics: venue booking, AV coordination, catering, registration management, and on-site support.

Volunteer Leadership: Recruit, brief, and coordinate volunteers for all CIC events, ensuring they are equipped for success.

Data-Driven Insights: Actively gather post-event metrics and translate raw data into clean, easy-to-read charts and graphs for monthly Steering Committee and Alberta Innovates reporting.

CIC Ambassador: Champion the CIC’s values through a high level of professionalism, acting as a welcoming, polished liaison for our network and tech ecosystem partners.
Operational & Administrative Support

Foundational Success: Provide vital administrative support to the CIC team, including calendar management, scheduling, and meticulous document organization.

Knowledge Sharing & Documentation: Maintain a centralized workspace for team processes, building out operating procedures and contact lists so the small team can seamlessly step in and support one another.

Initiative Support: Deliver operational backbone support for broad CIC initiatives, including the CIC Community Fund, data tracking, and specific Regional Innovation Network events.

Data Integrity: Maintain all CIC Network engagement reports with the highest level of accuracy, ensuring the foundational data of the organization is always reliable.
CIC Network Operational Liaison & Reporting

Database Management: Manage the engagement database, ensuring referrals and membership inquiries from the CIC Network and RINs are processed, tracked, and followed up on efficiently.

KPI Collection: Proactively coordinate the collection of key performance indicators to feed into bi-annual reports for Alberta Innovates.

Vendor Collaboration: Collaborate regularly with the external Communications Vendor to collect, organize, and report on monthly marketing and engagement metrics.
Term & Compensation

Position Type: Part time Contract (Independent Contractor)

Compensation: $32 to $36 per hour

Duration: Initial one-year contract, with a pathway to transition into a full-time (contract) based on program growth and funding approvals.

Qualifications

Experience: 5-7 years of professional experience in event coordination, office administration, operations, or executive assistant roles.

Event Execution: Direct experience managing on-site event logistics (catering, AV, registration, volunteer management) with a track record of flawless execution.

Communication & Collaboration: Exceptional interpersonal skills with the ability to act as a polished liaison between external vendors, community partners, and internal leadership.
